First, I'd like to welcome our newest member, Mr. Mejedevi, who will be joining us this year. Ms. Corbo regrets that she's unable to attend this evening, so it'll be the two of us. [00:02:00] So we'll start with the public comment. Is there anyone from the public who wishes to speak this evening? I see heads shaking in the no direction. So we'll move on to item three, which is the draft minutes. And I'll make the motion. [00:02:15] I move to approve the draft minutes from the December 13th, 2022 Finance and Operations Committee meeting. Okay, so there's a second for the discussion. There is, I believe, one correction. In the minutes, it states that the policy 8010 was being moved to the approval on consent. [00:02:39] So I think that that was mislabeled. Is that correct? So-- - Yes, that's correct. - So we'll make an administrative change and just pull that last statement out So that won't be headed to the consent agenda and it won't be added to the consent agenda. [00:02:54] And I think that's the only change. So with that, as amended, all those in favor of the motion, please say aye and raise your hand, aye. That motion will carry to zero with Ms. Corbo absent for the vote, thank you. So now we'll move to approval of the consent agenda and I'll make that motion as well. [00:03:13] I move to approve the consent agenda from the December 13th, 2022 meeting. Okay, any discussion on those items? - Yes, sir. just to approve to Senator with a full school board for February 15th right that's where this is correct so this is typically what we'll do is we'll review it if there are no questions it's just like we do on the board except in this case it goes up to the next board for consideration any further discussion on that seeing none all those in favor of approving the consent agenda please say I raise your hand aye that motion will carry to zero miss corporal absent for [00:03:50] the vote thank you now we're on to action item 5.01 which is revision of policy 8010 fundraising so after reviewing sure after reviewing the content and some of the comments that came in we didn't have a lot of comments from the public and I was very concerned that for whatever reason we may be struggling to get feedback from the community especially the communities such as bands and other organizations that have fundraising that use the high [00:04:24] school students so I realized that the the minutes state that I was in the meeting I just wanted to point out to the fact that I was probably 4,000 miles away and I'm not sure that I was here for that part of the discussion can you can you kind of touch on the basis of of why we have excluded all high schoolers and whether that pertains to organizations such as the ban boosters and things like that i saw that the language was removed but i just like clarification as to whether [00:04:58] we are completely uh eliminating any any chance for the high school students to do any door-to-door of fundraising so when we discussed this policy with department of instruction the high school level director there was supportive and actually recommended that we remove the solicitation of high school students for door-to-door or the door-to-door solicitation by high school students [00:05:35] We also discussed this at Cabinet as well, and it was further supported there. I think it was just thinking in the environment today just to not have any door-to-door solicitation. In terms of if this involves boosters, this would be related. [00:05:51] This policy is for fundraising activities approved by the school. In terms of what we call our SSOs, our school support organizations, The school principal only approves those SSO fundraising activities when they occur on school campus. [00:06:11] So an outside organization can have other types of fundraising activities for their nonprofit, for their booster club. This policy would not apply in those instances. So to answer your question, I think then that a booster club, because we don't have the purview over them, could on their own have their own set of rules and could do a door-to-door solicitation this is specific to lcps okay okay that's very helpful and i think that that message needs to get out as well [00:06:43] um so uh i will go go ahead mr mehead of me thank you chair so miss philoby i guess um i guess two parts questions so i mean this is more philosophically i mean again we have many other committees where we are expanding or putting more details in the policy and this is sort of kind of shrinking it down so this is my first time actually looking at the policy so maybe just get a little understanding of that and second this is also apply in the case of high school clubs as well so if the high school clubs are doing fundraising and I can give you a certain example [00:07:21] that we're looking at where if they did some big sale and brought some revenue in and what and so so forth so maybe maybe start and just a little bit backer up on this one thank you so this policy there is a lot of redlining where we were consolidating and trying to be more efficient in the language we also recently approved a brand new policy you may recall 80 20 which was our school support organization policy that also addressed some of the elements related to the the fundraising so there's information over there then we have this policy specific to LCPS [00:08:01] although there is references to the SSOs and then we are working on a regulation that would have the more specific information we wanted to at least get the policy through and then when as we work on the regulation it is our intent to reach out to the booster clubs and our partners at the schools the PTO the PTA to obtain their feedback whereas that becomes more you know procedural more operational I think that's where their feedback would be more appropriate in terms of the high [00:08:36] school club if it is an LCPS sponsored club then they need to follow the regulations or the the guidance in this policy related to fundraising I'll even mention just throw it out there since you mentioned bake sales we even have another policy related to wellness that also provides guidance regarding bake sales and stuff because you know we have responsibilities in terms of what is provided from a nutritional standpoint in terms of at the school so if the students are [00:09:12] doing I think I don't think our students do it I'm trying to remember but if they're doing a bake sale outside of school but still a club i guess that's i've seen one club doing a bake sale which is outside of school grounds but it's doing at a community center but the funds came into this the school um the school club itself so so i guess if you think it from a tiered approach that there's really two types of fundraisers you've got um school or lcps sponsored which [00:09:49] regardless of the location they have to follow policy then we've got our school support organizations like the PTO and the booster clubs they follow under our responsibility if their fundraiser occurs on school grounds and so what's what's the time frame for getting the regulations because I mean this policy is concise it is it doesn't really give lays out any directions on what those you know how do you how do you actually implement the policy so we have a draft of the [00:10:23] regulation in progress and we're about to embark on getting feedback from other stakeholders. So I'm going back to review based on the comments that you made and I mean it seems very explicit here without any specificity to whether it's LCPS sponsored or SSO sponsored students may not participate in door-to-door solicitation. I mean it flat out states that so the way it's written now [00:10:56] it appears that no matter which organization, any fundraising activity, students cannot go door-to-door. So if the intent, and there's no legal interpretation that states we must now, you know, we're forbidding door-to-door solicitation, and it doesn't sound like that's a legal requirement, I would like to capture that language in here so that a school-sponsored organization off-campus would be allowed to have students go door-to-door. [00:11:32] And that's your understanding as well, is that the intent is not to preclude other support organizations. It's simply to preclude the LCPS-sponsored organizations from going door-to-door, correct? Correct, and I'll give maybe another example. [00:11:48] Let's say that there's, so I know we reference a student, but I guess once, depending on the activity, it's whether or not are they still a student or are they now just a child? And so, because you could have a person, a child who is participating in LCPS fundraiser, then they're absolutely our student. [00:12:06] They fall under our purview. But if they were in a traveling gymnastics club that was run by the county, then while they may be a student of LCPS, they don't fall under our responsibility in that example. So I think I understand what you're describing, and we can attempt to, with the legal, see if we can put some additional clarification. [00:12:25] I'd appreciate that because, you know, the statement is pretty bold. All fundraising activities for the benefit of Loudoun County School Division, and I would argue that it's obvious when a gymnastics team is out there doing an independent fundraiser, but when you have a band booster organization, which is an SSO, But it appears that they would be covered under this because they are benefiting, their fundraising is to the benefit of Loudoun County School Division. [00:12:54] So I think what I'd like to do, and Mr. Mejedevi, it's up to you, instead of placing this on the action items and voting on it this evening, what I'd like to do is send it back to get a little bit clearer definition that would enable students from SSOs off campus to be permitted at the responsibility, obviously of the SSO that they'd be permitted to do door-to-door and previously it was restricted only to high school students and I would propose that's probably a good limitation to maintain I know that language is struck out at the current draft so if we are going to permit it under certain [00:13:34] circumstances very defined circumstances wouldn't be approved by the principal would be up to the SSO and therefore they are responsible for executing this safely but we could put the restriction and just limit it to high school students yeah no I agree I mean I think even the the line about students may not participate in door-to-door solicitations it's very absolute I mean I know Girl Scouts do go out and sell the students of LCPS they go and sell cookies but there's no there's no differentiation between you know this is [00:14:12] school-sponsored fundraising activities versus just students I think clear colorful language would be very helpful in this entire policy. So Ms. Willoughby do you have a good handle on what we're looking for for that exception? I think we want to narrowly define it but we don't want we don't want one one policy covering all of the organizations and precluding any door-to-door because I know that especially band boosters do and music boosters a lot of the different booster organizations really survive on the door-to-door solicitation. So with that we'll go ahead and [00:14:51] return that to action item at the next committee meeting uh with some uh some some language adjustments very good thank you all right we're going to move on to information items now business financial services the budget transfer request ms willowey good evening per school board policy 4120 operating budget transfers between departments in excess of 100 000 that deviate from the originally designated purpose require finance and operations committee consideration and school [00:15:28] Board approval. Staff is recommending a budget transfer of $307,525 to support priority functions and activities within central support that include legislative affairs, legal fees, severance pay, and district-wide outreach. This action would not increase the budget or spending authority, but seeks rather to utilize projected underruns in already existing budgets. And as such, we are recommending that we bring this back to the committee as an action item next meeting [00:15:59] to send to this full board for approval thank you comments mr mehedomy thank you chair so is the next page that we have the itemized breakdown of the dollars there yes that's a sample of the actual budget adjustment that would be submitted and obviously we would not know what those uh each items are i guess in in details not that i don't want to get into details of it to be very frank with you so but i do have a question so what what sort of uh savings are from safety and security contractual services those are mostly from an underutilized contract [00:16:37] from from the beginning of the year for savings that have already been accrued thank you so I noticed these are within the same department do we have a threshold for the bringing it up to the attention of the full board for a inter or intra departmental transfer two hundred fifty thousand so that's that's the cap anything over that would have to come before the board because this is [00:17:06] within the same department so okay and uh so the department the only difference in the description of the department is the first one leaves off school board and the second one includes school board so and i'll actually add that there's also so there's two pieces of the policy related to budget transfers so there's what um what mr jones just referenced regarding within a department the threshold is 250 and then between departments it's 100 and for budget purposes and the way we we have the budget structured and the organization structured. [00:17:44] The school board is a separate department versus what we would also then call kind of the central office, which is the superintendent's office, chief of staff, safety and security. So there's that distinction as well. And I agree with Mr. Mejedevi. [00:18:02] The exhibit doesn't really provide us much to look at. So if I would actually like to see, you know, the budget lines from which we're debiting, where we're pulling it out and where we're placing it. [00:18:17] So if we could, instead of just having the cost center and the object, if we could define or have the noun nomenclature, that would be helpful so that we can understand where it's coming from and where it's going to, that would be helpful. Okay, any further discussion on that? [00:18:34] So we'll place that on action item for the next committee meeting. Onto item 6.02 IFB I-23323, secondary music, instruments and furniture for ongoing needs and let me see we have miss philia for that thank you this is an annual contract that we bring to you every year um and this is for our secondary music programs and so it'd be our middle schools and high schools on these items we saw an average increase of eight percent pretty much in line with the inflationary rate and i also will add this is a contract with instruments that require a long lead time for ordering as well because [00:19:10] these are your bigger instruments so we're presenting this to you this evening this new contract will be effective march 1 2023 through february 29 2024 thank you and just for our recollection what do we do with the the no awards what is how does how do we approach that on the no award items what we do is we leave that up to the purchaser to get three quotes for those items in some instances no awards may be due in fact to the item being discontinued if it's discontinued the instructional supervisor will find an acceptable substitute and will go out [00:19:46] to quote and get three quotes okay and there's only one no award this time which is good that's that's interesting so uh further questions or comments on this mr mehevy so uh the the name of the company that we're going to award to i'm just looking at the documents is that public yet or not yet that is in your attachment the last column is called awarded supplier it's various [00:20:21] suppliers based on the lowest price of the most responsible responsible vendor but yes you will find that in the attachment so this is all the different vendors that's responding and we're buying through different vendors all different equipment is that how it is yes dependent upon pricing but yes we do have a pretty good list of music vendors that we work with so i'm just curious do we do we have like a how do i say wetted vendors i mean a bpa or some some sort of sort that we can procure them every year versus we have to do a full contract bid every year? [00:20:55] I'm just curious. The issue is the fluctuation of cost and the change in availability of instruments. As instruments are discontinued, we have to put the newer model on here. So we can't actually just renew these because price fluctuations, fluctuations in delivery and change in specifications. [00:21:14] You mentioned this has nothing to do with this contract, but since you mentioned the inflation, They just reported ExxonMobil made $50 billion last year in profit, just to kind of put perspective in this nonsense of inflation that we all have to live through it. And $200 billion by all the different oil companies, record profit last year, $200 billion. [00:21:36] Mr. Lewis is upset about our fuel strips, so that's the difference there. I mean, somebody's making money. That's what always bothered me. It's like, you know, we all talk about inflation. We talk about everything, costs going up, but somebody's making money, and it's... [00:21:55] Unfortunately this is a pretty competitive environment obviously with the different bids that we have going to different companies. So we appreciate that. All right. Further discussion on that. Okay. So we'll go ahead and move that to action item as well for the next committee meeting. On to 6. 03 which is RFP R20251 instructional supplies and related services renewal. Ms. Filio. [00:22:18] once again this is an annual contract this particular contract is for the supplies and materials that go into our classrooms that are used by our teachers which is different from our office supplies which is used in our main offices so with the size of this contract we bring it before you this evening with an average increase of 10 on these items and this contract also is effective march 1 2023 through february 29th 2024 with school specialty incorporated okay and so this is a single award this is the third of four renewals so and they they put in a 10 percent [00:22:57] increase this year do you recall what they had last year was there any change it was relatively flat last year part of this year is we did do some updating to the market basket to better justify our frequently purchased items that our teachers buy on a regular basis so what was on the list from before was at the 10 percent increase do we have a list of the standard basket of of one teachers stock supply well or do they order just just from the catalog every every teacher in may june sits down and does their order for the next school year their starting order and it varies by [00:23:36] teacher or grade level even sure makes sense mr. mehedeby thank you chair um so is there is there a dollar amount the thing this goes back to that 203 dollars for new teacher or this is something different completely can you speak to this what what type of materials and what this fund this is actually anything they buy for their classroom so this is actually part of their instructional supplies allotment they get at each school many instances the principal will dictate this is how much each teacher gets for their start of the year order I do ask that you keep in mind they could also spend that additional allotment using this contract if it supplies for their classroom they [00:24:15] can do it off of this contract as well but that's not only the only funds there's funds at the line item level for each school so forgive me can you describe when those items could be in the classroom for instructional um it could be pencils writing paper individual dry erase boards poster paper anything you can think of stickers happy birthday stickers anything that you would buy in the classroom it's a very large catalog and if it's not on the market basket as frequently purchased we get a 10 discount off of catalog price for anything else we order with the exception of [00:24:51] furniture and just so this is the fund coming from lcps funds not teach it's not coming from teachers funds or anything like teachers have to put money up forward or anything like that right to utilize this contract they have to you you have to spend out of the lcps allotment what miss philia was describing there's the school division allotment that we provide to the schools that teachers are recipients of and then there's the reimbursement allotment they have opportunity though with that 250 or 500 dollar individual allotment to access this catalog this contract [00:25:29] because you know there is good pricing available there or they could buy something separate and seek reimbursement so this contract it has to be to spend it has to be lcps dollars so thank you for helping me i mean again because again we get we hear a lot right i mean and so that's why my context it seems like I mean this is I mean we are spending in classroom but we get I mean I'm sure you know we hear constantly about additional money that's not there in the classroom so that's kind of where I was trying to get to the [00:26:07] understanding that we are making dollars available for each classrooms where teachers can procure besides the hundred hundred dollars and two hundred three dollars this is on additional just for instructional needs of it so I appreciate that. But again, I don't think we, again, nothing in this group, but we don't do a good job about communicating this thing out. Thank you. That's all. Any further discussion on 6.03? Okay. We'll go ahead and move that to the action item for the next committee meeting on to 6.04, which is [00:26:39] American Sign Language Interpreter Services. And we'll go with Ms. Filia. This contract is for ASL Interpreter Services for both staff, visitors, and students. Student ASL services are maintained and overseen by the Department of Support of Student Services while the four visitors and employees would be HRTD, the Human Resources Talent Development Department. And actually with this contract we did have only three of our vendors chose to renew. One vendor decided to not renew [00:27:16] due to their increase in labor costs and us remaining with our rates flat. So there was no Increase in the rate charged by these companies for this contract period. Well, that's great I mean, that's that's interesting is the loss of the fourth vendor of any concern No, because we actually the two there are two vendors we use frequently So that one was not as frequent as the other two and that's primarily due to availability location [00:27:46] Can they get to us and so on further questions or comments to the board? It says The estimated value of this award may exceed 250k. So what's the total value? Is the ceiling cap on this award that we have budgeted for? [00:28:08] There is no ceiling cap on these awards. These awards can go as high as they need to to provide the services. It's just that these are services provided on an as-needed basis. Therefore, we don't assign a specific price, a cost to it, but we actually look at past trends and know that it's going to go over the 250. [00:28:28] I do have the information available of what the cost was previously, and I can actually provide that when I bring the action item back, or I can look that up yet this evening. No, I think you can bring it next time. That's totally fine. So I guess I'm, I mean, you have to, again, from a budget perspective, you still have to budget a finite amount. [00:28:49] So, I mean, it just cannot be any dollar amount. It has to be a ceiling somewhere to say, well, we've, in a budget, we have half a million dollars for this ASL. That's where I was kind of alluding to. We can look to identify the line items supporting this because we do go through the process to make sure that these items are budgeted, to your point, and maybe start actually including some additional information in the budget impact section. [00:29:19] I think that would be helpful. Thank you. Further discussion? Okay. So we'll move that to action items as well. On to 6.05, which is RFPR 23251 Building Commission Services, Ms. Filio. [00:29:35] This contract was actually up to be put out to bid again, so this is a contract award, a new contract. We ran out of renewals on the previous contract, and we have before you the firms that we are looking to do business with from March 1, 2023 through February 29, 2024 for our building commissioning services. [00:29:57] and we also worked with these vendors in order to negotiate a standard rate that they charge for their services. Okay. And is that rate an hourly rate for their services or is it a project rate or how do we do that? It's an hourly rate. Okay. In the background, it says on October 20th, 2023. Was that 2022? I assume that was from last year. Yes, sir. Okay. That should be 2022. Thank you. We will correct that for the action item. Okay. Did you have further questions on that? [00:30:28] Thank you chair, so this one again, I get as a consistent I mean seems this is also make C 250k also in the same I think most of the languages seems to be on the same line that these are awards So I cannot hopefully will be in missile will be already offered that just from clarity what that amount is And I do have to ask I mean, so these are like non-louden county forums Is there um, I believe some of these firms are in Loudoun County. I'd have to let's see do they all say Fairfax, Arlington. [00:31:04] Yes, so I'm sorry. Yes, so they're outside the Loudoun County board. Yeah, whatever. I do have to ask, I mean, I think as we go in just for award, we also did a policy we're looking at in terms of how we award the small business, and I think we went through different classifications of how do we, what's the right term? [00:31:28] I think there's a policy we're looking at small business. That policy is not actually at this point prepared that we're going to look at awarding based on their SWAM category. We're currently just gathering data. We're in the report mode. There's a very formal process you would have to go through prior to doing it by SWAM designation. [00:31:47] So no, that policy is actually just that we're looking at the SWAM vendors. We're gonna gather some data and see where our numbers stand as far as the number of SWAM vendors we do business with. - I'll also just add, we're also, with that policy, developing outreach programs so that we can make sure that vendors know that we do have a swamp you know initiative while we may not have preferential you know bidding allowed with it at this time but that we do want to encourage those vendors to do business with us thank you so at some point let's say end of the year I guess the end of the year you [00:32:23] can have at least the data of what we have awarded awarded so far based on those two Not that there will be at least an ability to see the data, what the findings have been so far? So we're relying on the state of Virginia for vendors to register through them. [00:32:42] And so I think we're still working through wanting to make sure that we have that information. But in terms of what Ms. Philia was describing, to determine the volume and who we have, that is the goal for this year is to have some baseline of data with that. [00:33:01] And just to, again, since there's three or four vendors in each contract, so do we again have a ceiling for each contract, or there's no ceiling on each vendor? One thing that I will add, as you brought up Loudoun County, we're not allowed to give local preference. [00:33:19] The Virginia Public Procurement Act does not allow us to award a contract based solely on local preference. And when you do these solicitations, you have evaluation criteria, and you have the evaluation group, as you're familiar with, that reviews and scores these. and then based on the scoring determines who we go into negotiations with. [00:33:37] So we invite, when we advertise for this, we put it on our website. We put it on the state website. They have a website where we post it, too. So it is publicized, and we get good response to these solicitations. And I did want to add, you'll notice in keeping in line with Mr. Lewis, this contract has a 13% increase in the rates we're going to be paying starting this year for these services. [00:34:02] I appreciate that. So, going back to, again, so there's about three or four different vendors. Do we have a cap on each, how much each vendor we can procure at? So, there's not an actual cap on that. So, we divide the work up as best we can based on to make sure that everyone has a similar opportunity to do the same amount of work, but it's also a preference. [00:34:23] So, one firm may be more suited towards certain types of systems. And so this is a building commissioning systems will be once we open a building up build a new school All the systems have to be run through their their different Functions to make sure they operate correctly. That's what this this company does Some firms may be better suited for the solar plant plan or the ground source heat pumps those types of things So some of those selection criteria based on that and then other then everything else is divided up to make sure we have a you know a good system to give everyone equal access to the work but there's not a cap for those some of these will be tens of thousands of dollars some more [00:35:02] than that for the work on a major construction project okay thank you so we don't we don't really have I mean when we awarded multiple vendors it's not like you have a task order and then they sort of provide a RFQ and just quote on how much the work would be it's just most that you provide a task quarter that hey you're going to do this work you're going to do this work is that how this is typically done we we do have multiple awards as you as you mentioned but we do put out this scope of work for each individual project to get the quote back for that so each one has a separate [00:35:37] contract but we don't compete inside of that so the competition is done and so we wouldn't send out a proposal to do middle school 14 to two firms and then take the closest one we'll divide that up based on their criteria and whatnot and their capabilities this is by far the most equitable contracts yes we do our best thank you they've already down doesn't the down select which makes it much more viable it's not like we're going public and offering to break it into pieces so I just wish that the federal government does the same thing when there were multiple vendors in the contract that hey they selected five vendors at the ceiling of 25 million [00:36:16] dollars every contract is every contract is going to five million i love that but it doesn't happen like that that's that's where i was coming to okay any other uh questions concerns no we'll move that to action item as well thank you okay on to 6.06 which is the request to name 11 elementary school baseball field the coach larry wenner senior memorial field and that's in the courts with policy 6510 mr lewis thank you mr morse i am going to turn the microphone to mr stocks who's who's gonna present this item. [00:36:49] - Thank you. Mrs. Linda Textoris, principal at Lovettsville Elementary School has submitted a request supported by school board member, Mrs. Corbo, the family of Mr. Larry Winner, and numerous community members to name the Lovettsville Elementary School baseball field, the Coach Larry Winner Senior Memorial Field. [00:37:09] Staff has reviewed the information with respect to policy 6510 and is in support of the action to name the Lovettsville Elementary baseball field after Mr. Winter for a period of 10 years. Mr. Winter grew up and played local sports in Lovettsville, particularly baseball. [00:37:25] And as an adult, Mr. Winter was a little league baseball coach for 30 years in Lovettsville. Mr. Winter passed away on January 30th, 2022. - Okay, discussion on this item? [00:37:42] - Yes, Mr. Madhavi. - So I think we had a policy that we went through changing. So what is the time period now after the death? I think we were excited we're gonna wait for some time. have the policy in front of me but i think we had a time period before we could name a facility after somebody who's deceased so so this request is for the naming uh there's two sections to that policy one is for the naming of a facility which would be a school a school facility or another building this is for this falls under the section that's naming of programs or areas of a school whereas [00:38:18] a stadium a field uh gymnasium or or a program could be named after an individual and that requirement and i don't remember the exact number but the policy is attached in the board item does not apply to the areas and and programs yeah i appreciate that i'm going to go back and just look at it because mr um i guess work with mr lewis when we were doing the riverside naming of the football field i mean this entire and there was a policy that was going through this committee itself when Miss King was leading it and I remember uh that the policy was trying to [00:38:56] make some some uh you know a certain number of months or years before we could rename and so anyway I'm good tonight but I'll go back and look at it see what that was thank you so if you look at uh the policy 6510 paragraph c and uh you can look through that there is no there is no stipulation as to the amount of time. [00:39:19] If you look at B12, you'll see it's 10 years if you're talking about, oh, that's for renaming. But I think for naming, it was, is it three years for naming? Five years, unless the individual has been deceased for five years. [00:39:34] That's a naming of a facility. No, that's naming five under paragraph A5A. It's A5A, where it says at least five years. It is Section C on that same policy, naming portions or areas of school facilities, grounds or programs, and there is no stipulation for a period of time after the decision. [00:40:03] Okay, sir. You said Section C? Correct. It's on page four. Restriction. [00:40:22] All right. Thank you. Okay. So we'll place this on an action item as well for the next committee meeting. Okay. Then on finally to 6.07, which is our proposed committee dates. [00:40:37] Ms. Willoughby. So in Board Docs, we have a draft or recommended schedule of meeting dates for this committee. This continues the practice of meeting on the non-school board meeting Tuesday late afternoons. [00:41:02] And unless there's any concerns or questions, we would like to go ahead and calendar and reserve the rooms and get everything set up so that we can be prepared for these meetings this year. A question concerning the dates on February 21st, March 21st, I guess that's the third Tuesday. [00:41:22] Can we move that to 5 o'clock? So that they were all at the same time. I think there's always a little bit of confusion. And the SBC meeting starts at 6. So we would start this and then move into the SBC. So there was a conflict with, I think, either another meeting as well as scheduling of the room that they like to have a buffer between the meetings so that they can set up. [00:41:51] So I can't remember the exact meeting, but we can look at that a little closer or I could try to get other information. I don't think we have an option to move it earlier. And I don't know if I'd rather, yeah, I'd rather not move it earlier. I mean, I mean, not to, I mean, I'm sorry. [00:42:08] I don't think we have the option to move it to five in this room. And I know that there is a preference to have meetings in this room. So I don't know if we would look at another date or if we could get an exception to meet in another room. [00:42:23] Mr. Mehedemi. Yeah, chair. I mean, I think for me personally, I mean, I think anything early than five is difficult. So I don't know if we can have all the meetings type five more later. [00:42:40] Yeah, if staff could look into that and because generally we don't get huge audience. So I don't think we need large space, but there are a couple options that we could have available. Mr. Lewis. Yes, sir. So one of the reasons we're trying our best to have as many, if not all, the meetings as possible in this space, because this is the only room set up for the virtual and the broadcasting. [00:43:03] So DDI is really asking us to try to do that to get into this room as often as possible because we are limited in the other spaces. So that's one of the reasons we focused on this room. That sounds like a good reason to put us in this room and put someone else in the other room because we do have remote participation, whereas the other committees do not. [00:43:22] So we'll look into it. Yes, thank you. Arm wrestling is appropriate. Okay. So if you could look into that, I don't have any problems with the specific dates. I think they are what they are. And if required, we can adjust as necessary. So just so I can double check my clarity. [00:43:39] So just the February 21st date. No, all the move to five o'clock. All the ones that were out of four. Gotcha. Okay. I'm glad I asked. All right. Is there any new business? Seeing as there's no new business, we're adjourned. [00:43:56] Thank you. ---------------------------------------------------------------------- Coraggio Consulting ยท aguyonx.com
